2024 Asian MICE Forum Delved into Future MICE Trends

The grand annual MICE event, Asian MICE Forum (AMF), organized by the Taiwan External Trade Development Council (TAITRA) under commission of the International Trade Administration, Ministry of Economic Affairs, opened on June 3, 2024, at the 1919 Plaza in Taipei. Themed Co-Creating a New Era for MICE, the Forum explored the latest trends in the domestic and international MICE industry, the application of MICE technologies, sustainable MICE promotion, and creative event strategy planning. A total of 250 participants attended.

The morning session of the Forum featured representatives of authoritative international MICE organizations. Anju Gomes, Middle East director of the International Congress and Convention Association (ICCA), shared conference industry trends, emphasizing the need to highlight the unique value of destinations, strengthen partnerships between associations and destinations, and bridge generational gaps as Generation Z rises. Ori Lahav, former president of the International Association of Professional Congress Organizers (IAPCO), spoke on how to use technology to enhance the efficiency of physical events. He stated that the core of conferences now lies in attendee desire for higher engagement, and technology can establish meaningful connections among participants. Organizers are no longer just event managers, they are also experience creators. Following this, Chuck Grouzard, incoming president of the International Association of Exhibitions and Events (IAEE), shared sustainability practices of the renowned American exhibition company GES, which has successfully reduced paper usage by over 200,000 sheets annually through the introduction of e-commerce via an app. The partitions and visual materials used in their exhibitions are made of 100% recycled materials, and they adopted regional operations to reduce long-distance transportation, thereby reducing carbon emissions.

For the afternoon session of the Asian MICE Forum, domestic MICE experts took the stage, covering everything from venue operations to the creative soft power of event management. Experts revealed their tips without reservation. Luo Ming-Zhi, director of the Nangang Exhibition Center (Taiwan's largest MICE venue), shared how to promote hardware sustainability through the principles of safety, health, technology, and low carbon practices, and how they derived the first domestic venue sustainability report. Additionally, in the two panel discussions entitled Revealing International Conference Creative Strategies and Event Design Creativity, experts mentioned that creative event planning requires different strategies at the pre-, mid-, and post-stages to enhance participant experience outside the box. They emphasized the importance of starting with the end in mind, identifying the core value of the event, and then devising related creative strategies. Furthermore, technology enables people to traverse between virtual and physical realms and create new communication scenarios by integrating creativity with technology. The Forum's finale was delivered by Hsieh Shih-Yuan, director of the Tainan City Government Cultural Affairs Bureau, who shared how the theme of Tainan's 400th anniversary was formulated through a series of promotional approaches linking city development, festive activities, and private sector response.

On-site exhibitors could set up fixed-position digital avatars to introduce their booths through video and audio, while online visitors could use their avatars to navigate the booths, engage in live discussions with exhibitors via video calls, and interact with on-site attendees, creating a conference-like remote exhibition mode that did not disrupt existing workflow. Additional features like online waiting rooms and digital business card exchanges ensured flexibility during peak periods for both on-site and online interactions. Focused on the needs of remote clients and international buyers, this service utilized metaverse technologies to unlock cross-border business opportunities and bring new value to exhibitions.To address challenges such as recruiting local collaborators and insufficient familiarity with the metaverse, ICC Tainan actively promoted its services online and through mid-to-large-scale events during the planning period to build local trust. Free trial experiences for SMEs further highlighted the advantages of remote participation, paving the way for sustainable business operations as market acceptance grows.The low-latency capabilities of 5G allowed virtual attendees to experience real-time event activities, navigate exhibition halls through a first-person perspective, and interact with digital avatars. Integration with digital signage, Bluetooth navigation, and indoor positioning technologies overcame coordination and system challenges, enabling multi-user synchronous cross-platform interactions and benefiting related industries.PhyGital Experience Zone: Blending 3D Modeling with Physical SpacesThe PhyGital Experience Zone employed 5G and AR technologies to merge physical exhibits with 3D modeling. The 2024 Taiwan Excellence Pavilion featured at the Telekom Hauptstadtrepräsentanz in Berlin and offered an immersive digital tour. Through WebAR technology, visitors used their mobile devices for real-time interactions, exploring product details in a 360-degree stereoscopic display. This blend of virtual and physical elements enhanced visitor experiences and bolstered the appeal of exhibited products. The zone also integrated an XR navigation system utilizing LiDAR for spatial scanning, combined with AI-based spatial recognition and augmented reality. Visitors could interact with 360-degree displays using smartphones and tablets, delivering higher precision and stability compared to traditional audio guides and mobile apps. The system offered multimedia content, including animations, 3D models, images, videos, and text, with elevated visual quality and interaction experience. Despite initial challenges such as exhibitors' unfamiliarity with digital displays and incomplete 3D data, iterative prototype optimizations and in-depth collaboration with exhibitors ultimately attracted over 100 SMEs, creating high-quality stereoscopic exhibit data. Innovative 5G XR solutions enhanced exhibition performance and competitiveness of participating SMEs. Moreover, data analytics further helped exhibitors to accurately target customers and boost market competitiveness.The PhyGital Experience Zone emphasized interactivity and immersion, successfully combining the dual strengths of physical and virtual exhibitions. This innovation not only provided Taiwanese SMEs with international exposure, it also earned the Best Innovation Gold Award in the User Experience Design category at the 2024 London Design Awards among over 2,000 entries from 30+ countries as the sole 5G service winner in the category.5G Technology Pioneers a New Era for MICE, Unlocking Global OpportunitiesThe adoption of 5G technology has successfully overcome spatial and temporal limitations in the exhibition industry. Kaohsiung Exhibition Center Celebrates 10th Anniversary

The Kaohsiung Exhibition Center, southern Taiwan's iconic exhibition venue that forms the core of the Asia New Bay Area, has officially entered its first decade and 10th year of operation. Today (the 6th) a 10 Years and Beyond event was held, combined with Ministry of Economic Affairs' Taiwan Business Event Corridor activities and Kaohsiung City Government's unveiling of its new exhibition economy plan. Through collaborative integration between the central government, local governments, and exhibition industry, they aim to build upon the concert economy and create further momentum for Kaohsiung's exhibition economy.Also aiming to construct a Kaohsiung green exhibition sustainable platform, the Kaohsiung Exhibition Center and iPASS Corporation signed a memorandum of understanding witnessed by Liao Tai-Hsiang, Director General of Kaohsiung City's Economic Development Bureau. The collaborative MOU was jointly signed by Kaohsiung Exhibition Center General Manager Katherine Tu and iPASS Corporation President Keynes Cheng as they initiated a green data revolution for Kaohsiung's exhibition industry. In the future, cross-industry collaborations will involve green transportation, electronic payment data, and carbon footprint data certification, establishing green economic indicators for the exhibition industry chain and aligning with international circular sustainability trends.Liao Tai-Hsiang stated that Kaohsiung City Government is actively promoting its concert economy, which not only drives Kaohsiung’s commercial vitality, it also enhances the city's brand value.
